This summary is the 'easy to read' version of the booking terms and conditions. The full terms and conditions can be found lower down the page and by clicking on any of the section titles.
When booking you must tick the box that states you are agreeing to all the full terms and conditions given here and in any of the linked pages (such as those relating to worker places, payment plans etc.)
In these terms and conditions, "event" is used to refer to all events, workshops and festivals offered through this website.
Information emails - We may send you one or more information emails before the event which you should read and raise any questions about before attending. You agree to read all information made available to you with regard to workshops and use of the various facilities at the venue.
Arrival Time - For all events, please aim to arrive acording to the information supplied to you prior to the event. If you arrive before then you will not be able to enter the venue. If for any reason you will be arriving later than the published start time, you must have discussed this and had prior agreement with the event organiser that this is okay.
Attendance - By signing up you are committing to attend for the entire event. If you know you will not be able to stay for the the entire event or if during the event you feel you have to leave, then you agree to talk to one of the event facilitators before going, just so we know (fire regulations and so on.)
Safety - You are responsible for your own safety and well-being during the event.
Conduct - Treat everyone with the same respect you expect from them. Adhere to the terms and ethics of the event.
Property - Take home everything you brought with you, or be in touch as soon as possible if you left something behind.
Payment - Your place at the event is not confirmed until we have received and processed full payment from you.
Refunds / Cancellations - Refunds can sometimes be offered in full or in part if sufficient notice is given (for card bookings there will be an admin fee charged) Please contact us as soon as you can if you need to cancel or change a booking.
Exclusion - The organisers reserve the right to exclude anyone from attending an event.
Privacy - When you register you are added to one or more mailing lists on Quintasensual.org to ensure you receive items of email that we feel may be of interest to you. We will not share your personal data with anyone else other than giving the venue your basic contact information (a legal requirement.) We respect the privacy and confidentiality of all who attend any event and expect all participants to also follow this respect to everyone involved with this event.
Photography - You agree not to take any photographs or videos by any means during your stay at the event (other than consensual when in private.) We may take some official photographs for publicity purposes but we will make it clear when we do this and everyone has the right not to be photographed. Any photographs we do take will be displayed on the social network before being made public and you have the right to request any with you in not to be used (or cropped if possible.)
By signing up for the event you agree to all the terms and conditions laid out below.
We will send one or more emails with information before the event and it is important that you read this before attending. You may wish to add the email address to your email system white list / filter to stop the email going into your spam / junk folders. You can also read this information at www.quintasensual.org/joining During the event there may be a mixture of topics and it is your responsibility to ensure you fully understand the overall content of any workshop you are attending and what interaction / connection there will be between you and other participants. If you have any questions or uncertainties you should talk to the facilitator. During multi-day events, we will make every attempt to clearly post information about all events taking place so you have plenty of opportunity to find out what is involved before taking part. For residential events, on arrival you will be given information relating to the use of the facilities at the venue and you will be asked to agree to these (a summary is given below, however we reserve the right to amend/change these but we will ensure you see and confirm you understand the version available at your check-in.)
Venues with a Sauna and Hot Tub
You agree to read and follow all health and safety information posted before using these facilities. You agree that use of the sauna and hot tub is at your own risk. Although nudity is permitted here, we ask that everyone uses a towel (to sit on if you wish to be otherwise naked.) It is suggested that you bring your own towel(s) if you wish to use this facility, however towels will also be available to hire from the venue at a small charge. You agree to pay the costs if you lose a hired towel.
You agree to abide by the rules of the venue with regard to places you may or may not be naked (this will be clearly explained to all participants.)
Out of consideration for the venues neighbours, you agree not to perform any outdoor drumming (other instruments and singing are welcomed outside.)
We ask everyone to aim to arrive according to the information and instructions made available for each event and in booking you are giving your agreement to this. If you will not be able to, it is important you let the event organiser know before hand so that they can discuss this with you to see if there is a way you will still be able to attend. It is important that you do this before booking as once booked, we may not then be able to offer you a refund if it turns out you will not be able to attend the event. .
In order to create a safe and supported space, we only offer booking for the duration of an entire event. By signing up you are committing to attend for the entire published event. If you are not able to stay for the entire event you agree to let the organiser know before hand (unfortunately we will not be able to offer you any discount on the ticket price.)
If during the event you feel you have to leave, then you agree to talk to one of the event facilitators before going. This allows us to to meet fire regulations etc and also to help you with your emotional well being.
You are responsible for your own physical, mental, emotional and sexual well-being and safety during the event. This includes notifying us at registration of any conditions that may impact on others or your safe participation. Likewise, you are responsible for your own safe practice during the entire event. Any activity you choose to participate in is deemed to take place between consenting adults. Although we aim to create safe and supportive spaces in all parts of the event, no direct liability can be accepted by us for your well-being and safety. We will always try to ensure during the event that there is a support mechanism for you to use with your physical, emotional and sexual well-being, however the primary responsibility of self care is yours. If you have a support person / carer in your day to day life we would strongly recommend that you consider them coming with you to the event.
Any form of aggressive, inappropriate or threatening behaviour towards facilitators, venue staff, volunteers or other participants will not be tolerated. Any such behaviour will be addressed and if not rectified immediately will result in you being asked to leave. You may also be turned away from future events. Residential events run through Quintasensual aim to be spaces free of alcohol and recreational drugs and we ask you to respect that.
You are responsible for taking home everything you brought with you to the event. If you leave something behind, please contact us as soon as possible. We will endeavour to keep lost property for about one month before donating or recycling it.
We need to have received and processed your payment in full before your place at the event is fully confirmed. If paying by card using the online booking system, this usually happens within 10 minutes and you should receive an email from the payment agent confirming the payment has been accepted. If there are any issues with your payment, we will contact you (usually within 2 working days) to let you know and to help you complete your transaction. If you are paying by other means (cheque, bank transferc) we will generally confirm by email when the transaction has cleared and your booking is valid.
Payment plan - For some events there may be a chance to pay in instalments by using a payment plan. If you are paying this way your place at the event is held for you, but we reserve the right to cancel it if you fail to complete the full payment schedule before the start of the event. If you fail to pay the full amount of your payment plan any refunds will be subject to the terms and conditions shown below under the section Refunds / Cancellations.
The first payment must be made in order that the last payment is received at least one month before the event date. Please be aware that the total amount you pay may be higher than if you paid in full when booking, this is to cover additional processing and administration costs.
If you have booked but are then no longer able to attend the event, please contact us by email or via the website as soon as you know. Provided you contact us at least 60 days before the event, we will offer you a full refund minus a 5% admin charge. If you cancel between 30-59 days before the event we will refund 50% of what you paid (please note that these percentages do not apply to worker places, see below.) In all other cases, including but not limited to bookings made less than 30 days before the event and money already paid by a payment plan, we will not be able to offer you any refund once you have made the booking (as we will have already made commitments and paid funds to the venue, caterers etc.) If we have to cancel the event, we will aim to give you at least two months' notice and we will return your booking fee in full.
Some events offer a limited amount of places for people who wish to work a set number of hours in return for a reduced payment to attend the event. A worker plays a key role in helping ensure the event runs smoothly and so we ask you to agree to the extra terms and conditions for workers. These are in addition to the terms given here or where the terms are different to stated here, the worker terms and conditions override them.
In general we will only exclude people if they breach the terms and conditions or they fail to comply with the event ethics. However we reserve the right to exclude anyone from attending the event, without stating the reasons for doing so.
All information you give when booking for the event is used as part of the process necessary for the booking. You are automatically subscribed to the relevant mail list(s) on Quintasensual.org so as you will receive items of email that we feel may be of interest. You can modify your subscription or select to unsubscribe at any time. You may wish to create an on-line account on the website. This will allow you to access information and parts of the website only available to those that have booked to attend the event. You can delete this account at any time. All information you give us is held according to UK data protection guidelines but we cannot offer any legal warranty that your information is secure. We will not let anyone know you attended the event and expect the same conduct of all people who attend the event. For residential events, your contact information will generally be given to the venue as part of any legal requirement for them to have this. We may also ask you for emergency contact information and if so this will be destroyed shortly after the end of the event.
We respect the privacy and confidentiality of all who attend our events and expect all participants to also follow this with respect to everyone involved with this event.
We may take some official photographs for publicity purposes, but if we do so we will make it clear when we are doing this and everyone has the right not to be photographed. Any photographs we do take will be made available for you to check before being made public. You have the right to request any with you in not to be used (or cropped to remove you from the image if at all possible.)
